Maintain Specification Rows

Existing specification rows may be maintained by accessing the Maintain Specifications panel, or, by manually typing the changes in the Distribution Control worksheet.

Spreadsheet Server now enables direct report distribution to SharePoint through the Distribution Manager and Profile Scheduler. This enhancement expands distribution options beyond the current capabilities of Email, local File Save, and Printers, allowing organizations to send reports directly to SharePoint locations without requiring intermediate file backup processes.

Prerequisites for SharePoint Distribution

  • Customer must be on v25.3 or later

  • Users must have permissions to read and write to the designated SharePoint location

Maintain an Existing Row Via the Maintain Specifications Panel

  1. In the Distribution Control worksheet, select the desired specification row to be maintained, then, from the Distribution Manager Ribbon, select Maintain Specs,or, right-click, and select Distribution Manager > Maintain Specs. The Maintain Specifications panel appears.
  2. Continue to step 3 of the Create a Distribution Control Worksheet section. To maintain the existing specification row, ensure the Replace Active Row radio button is selected.
  3. SharePoint Distribution Setup:

    1. Navigate to Maintain Specifications and notice the new dropdown option next to Browse.

    2. Select SharePoint.

    3. This may prompt authentication with SharePoint.

    4. Navigate to a location where reports should be distributed and select that folder path.

    5. Fill out the remaining distribution sections as usual.

    6. Push changes to workbook.

  4. To maintain an additional existing row:

    • In the Distribution Control worksheet, select the next specification row to be maintained.

    • In the Maintain Specifications panel, click the Retrieve SPECS From Current Excel Row button. The specifications from the current active row defaults in the panel.

    • Continue to step 3 of the Create a Distribution Control Worksheet section. To maintain the specification row, ensure the Insert After Active Row radio button is selected.

Maintain an Existing Row Manually

  1. In the Distribution Control worksheet, select the desired cell to be modified, and click the down arrow to change data in the cell, or, type the desired data in the cell.

    Note: To avoid errors, it is recommended to use the Maintain Specifications panel to make changes, rather than typing in the cell.

  2. If the Destination Type is Email, enter the email address you want to use when distributing reports under the SMTP Sent 'From' Address column. If left blank, it uses the default email address from the Distribution Manager settings.

  3. Save the workbook.

Testing and Verification

  1. Test by distributing the selected row pointed to SharePoint.

  2. Verify that the report has been distributed to the designated SharePoint location.

Authentication Considerations

Note on login tokens and timeout errors:

SharePoint has a Sign-in Frequency that the organizational IT team can configure. The default is 90 days but it could be more frequent.

If Profile Scheduler is used to distribute reports in a scheduled manner, distributions could fail when authentication is required. That frequency will depend on what the organization has set for their Sign-in Frequency.
