Recalc and Data Refresh

This section covers the Recalc and Data Refresh features present in the Spreadsheet Server ribbon.

Recalc

Recalc is a feature that recalculates all formulas in your current workbook. You can choose to recalculate for the entire workbook, a specific worksheet, or even a selection.

Exploring Recalc Options

You can explore various options under Recalc.

  • Workbook: Recalculates all formulas and cells throughout the entire workbook.

  • Worksheet: Recalculates all formulas in the current sheet.

  • Selection: Recalculates only the formulas and cells within your highlighted range.

  • Full: Recalculates all formulas and cells in every open workbook, ensuring everything is up to date.

  • Refresh All: Refreshes all external data ranges and updates any Pivot Table reports in the workbook.

Simply clicking the Recalc option without selecting any specific choice will recalculate the formulas and cells in the current worksheet based on the existing cached data, making it a quick and efficient way to ensure your calculations are current.

Data Refresh

Data Refresh removes all records in the cache and recalculates the formulas in your workbook, ensuring you have the latest data.

Exploring Data Refresh Options

When it comes to Data Refresh, you have several choices to ensure your data is up to date.

  • All Workbooks: Refreshes every sheet in every workbook you have open.

  • Current Workbook: Refreshes all sheets within the workbook you’re currently working on.

  • Current Sheet: Refreshes the current sheet.

  • Selected: Refreshes only the data you’ve highlighted.

  • Full Recalculate: Recalculates all formulas in the current workbook along with their dependency trees. Since all dependency trees are rebuilt, this process will take longer than a standard data refresh for the current workbook.

Simply clicking the Data Refresh option without making a selection will remove all records in the cache and recalculate everything.

Key Differences

Recalc refreshes Excel formulas based on cached data, while Data Refresh pulls the latest values from your data connection. This distinction is vital for effective data management.
