Assign Ad Hoc Drill Downs to Specific ERP Profiles

From version 25.2 onwards, Spreadsheet Server introduces the ability to assign Ad Hoc Drill Downs to specific ERP profiles. This enhancement ensures that drill downs are displayed only for the profiles they are explicitly configured for.

For example, if a customer operates five ERP systems with corresponding profiles, a journal drill down query can now be assigned to just one of those profiles—delivering a more streamlined, relevant, and user-specific experience.

Key Details:

  • Available in Spreadsheet Server version 25.2 and above

  • Works with both the classic and new settings

  • UI Setup is handled during installation—this is not a task for end users

  • Each profile must be configured individually; drill downs will only appear where assigned

Steps to Configure Ad Hoc Profile Mapping

  1. Go to Settings > Ad Hoc Queries tab and locate the Profile dropdown.

  2. Scroll through the list of profiles and select one or multiple profiles to be assigned to the selected Ad Hoc Query.

    Note: This does not impact the Ad Hoc Query name or Profile name.

    This update does not affect existing GXL, GXE, or related features.

  3. Click Save to apply the changes.

  4. Insert a GXL formula and drill through to the Ad Hoc Drill Down screen to see the updated behavior.

    “More” Option Behavior

    • The More option appears only when there are unmapped Ad Hoc Queries.

    • For example, if a customer has five profiles and four queries are mapped, the remaining one will appear under More.

    • Once all queries are mapped, the More option disappears.

  5. If multiple profiles are assigned to a single Ad Hoc Query, it will appear under each assigned profile.

Impact on Existing Customers

  • No impact or disruption to current customers.

  • Existing installations will not include this feature by default, and Ad Hoc Queries will remain unmapped.

  • All Ad Hoc Queries will continue to appear in the drill down menu until they are explicitly mapped to a profile.

How to Enable Mapping?

  • New installations: This step should be included during setup.

  • Existing customers: Can submit a support case to enable this feature. Full documentation will be provided.
