Converting to SharePoint

Note: This feature is available from Spreadsheet Server version 25.3 onwards.

After completing the initial Application Configurator setup, organizations can migrate their Spreadsheet Server configuration to SharePoint for centralized file management and improved collaboration. This process involves copying existing backend configuration files to a SharePoint location and updating the Application Configurator settings to reference the new SharePoint paths. The conversion enables multiple users to access shared configuration files while maintaining consistency across the organization.

Copy backend configuration files to SharePoint

  1. Locate the DotNetConnections.xml and DotNetSecurity.xml files.

    Note: Open Spreadsheet Server Settings > General in Excel to identify the file locations.

  2. Locate the Designer GL, Ad Hoc Queries, Drill Down Layouts, EDQ Files, and Segment Lists.

    Note: Find this information in Spreadsheet Server Settings > File Locations.

  3. Copy the following files to a SharePoint location and note the location. Typically, all files are stored in a path such as C:\Users\Public\Documents\Global Software Inc\Spreadsheet Server. Copy the entire folder to SharePoint to complete the process in one action.
    • DotNetSecurity.xml
    • DotNetConnections.xml
    • Custom GL Folder
    • AdHocQueries Folder
    • Application Data Folder
    • Query Designer\Queries Folder structure
  4. The SharePoint site should appear similar to the following example.

Map files to SharePoint

  1. Launch the Application Configurator > File > Settings.

  2. Change the Storage Location to SharePoint. This action prompts authentication if the token is not already cached.

  3. Select Browse to choose the appropriate SharePoint destination and select the root folder where the DotNetSecurity.xml and DotNetConnections.xml files are located. Select OK.

  4. Save the changes in the Application Configurator and, when ready, push changes to Network so that the change applies to all users.

  5. Navigate to the Application Settings tab.

  6. Clear the Apply checkbox, clear the current path, and select Browse next to the Segment Lists Folder. This action opens the Folder browser to show the SharePoint locations.

  7. Select the Application Data folder from the saved file location. Select the Apply checkbox.

  8. Navigate to the General Ledger tab. Clear the Apply checkboxes and clear the current values.

  9. Select Browse to choose the SharePoint location. Select the AdHocQueries folder for the Ad Hoc Folder. Select Apply.

  10. Select Browse next to Designer GL Definition Folder. Ensure the Apply checkbox is cleared and the contents are removed.

  11. Select the CustomGL folder. Select the Apply checkbox.

  12. Navigate to the Query tab. Clear the Apply checkbox and remove the contents next to the EDQ Files folder.

  13. Select the Queries folder inside the Query Designer folder from the location where the EDQ files were saved in SharePoint. Select the checkbox to apply changes.

  14. Save changes and push to network.

  15. Open Excel and navigate to Spreadsheet Server Settings.

  16. On the General tab, select Browse to change the Network Security & Connections Files path to the SharePoint location.

    Note: Repeat this step for all user installations.

  17. Select the dropdown to switch from Local to SharePoint.

  18. Select the DotNetSecurity.xml file from the same SharePoint location used in the Application Configurator. Select Open.

  19. Select OK to save the changes.

  20. Close Excel and the Application Configurator, then reopen Excel to verify changes.

  21. Open Spreadsheet ServerSettings.

    • Verify the Network Security & Connections Files location matches the desired SharePoint site.

    • Verify File Locations are mapped to SharePoint.

  22. The configuration files have been successfully mapped to SharePoint.
